General Terms and Conditions when Staying in Apukka Resort

Please read the below terms and conditions as well as payment terms carefully. You must agree with the following rules and regulations (unless otherwise agreed) to ensure smooth travel arrangements.

Apukka Resort Ltd reserves the right to adapt/change room rates, terms & conditions, and payment terms.

1. Booking and confirmation

Booking can be made in written form or through our booking system. When making a reservation at Apukka Resort Ltd, you must provide the following information: names of the travelers, nationality, date of birth for children, phone number, email, payment method, arrival and departure date, as well as the estimated time of arrival.

A booking shall be confirmed when Apukka Resort Ltd has received the payment and you have received a booking number. Apukka Resort Ltd reserves the right to reject confirmation if the payment has not been received. All bookings are subject to availability and are not confirmed until written confirmation has been provided.

NOTE: Different conditions are linked to different periods; see the detailed payment terms.

2. Child policy

Children staying in the same room with adults pay extra person price in all room categories. Baby cot delivered to room on request for children 0-2yrs, price 20,00 EUR/stay.

3. Check-in and check-out

CHECK-IN will be starting from 16.00 until 22.30 on the day of arrival.
CHECK-OUT will be starting from 8.00 until 12.00 on the day of departure.
In case of a room change, the same times apply

Late Arrival: If you arrive later than 22.00, please inform us well in advance. Otherwise, we cannot ensure that late check-in will be available.

For safety reasons, only checked-in guests are allowed on private premises, and the maximum capacity per room may not be surpassed. Please let us know your estimated time of arrival at least a couple of days in advance. When staying at Apukka Resort Ltd, every guest must provide a valid ID.

4. Insurances

We recommend that our guests take out travel insurance to cover any contingencies; Apukka Resort Ltd does not accept cancellations without cancellation fees (if not stated differently in the cancellation terms), not even if a medical certificate or other documentary evidence is presented. Apukka Resort Ltd does not offer any insurance services.

5. Force majeure and the Applicable law

Apukka Resort Ltd reserves the right to modify or cancel the reservation in circumstances outside of the control of Apukka Resort Ltd that is classified as Force Majeure situations by the government of Finland. Or any other circumstances beyond reasonable control preventing the rendering of the purchased services. Such Force Majeure situations include, but are not limited to: pandemics, earthquakes, floods, war, or acts of terrorism.

The exclusively applicable law is the Law of Finland. Any dispute arising from or relating to the services offered by Apukka Resort Ltd shall be subject to the exclusive jurisdiction of Finnish courts and handled in the District Court of Lapland located in Rovaniemi.

6. Guest Behavior and Guests’ responsibility for damage and own valuables

The guest is obligated to follow good manners at Apukka Resort Ltd. If the guest breaks these terms & conditions and conducts themselves appropriately, Apukka Resort Ltd reserves the right to remove the guest immediately from the resort premises without any refund.

As a guest, you are responsible for damage caused on purpose or by accident by you, your guest, or your pet in the room or in the resort premises. This also applies to the resort furniture, other equipment, and other guests or their property. Adults have a parental responsibility to look after their children and are responsible for any damages caused by their children. Apukka Resort Ltd has the right to charge the cost of caused damages on the spot at the resort from the customer.

The resort is not responsible for damage or disappearance of valuables during your stay. Take good care of your belongings.

7. Reclamations

Any complaints or concerns about the reservation should be expressed to the reception staff immediately after they arise to fix the issue quickly.

Payment Terms for Accommodation & Holiday Packages in Apukka Resort

1. Method of payment

The booking shall be confirmed by making full payment for the reservation. We accept the most common credit/debit cards as well as payments per bank transfer. You can pay any additional expenses you might have during your stay at the hotel with cash in euros or by card. We check your credit card details on arrival for any future charges.

2. Cancellation, changes, and no-show – individual booking

Please note for different dates, apply different cancellation terms. Apukka Resort Ltd reserves the right to charge an administrative cancellation fee. Note as well that all changes and cancellations are based on availability. Find below our cancellation terms.

A. 11th Nov 2024 – 8th Jan 2025
Reservations made for the period mentioned are non-refundable. If the reservation is cancelled or modified, the total price of the reservation will be charged. The same applies to cases of no-shows. The resort is entitled to charge the total amount of your reservation from your credit card.

B.  9th Jan – 7th Apr 2024 /  6th Sep – 10th Nov 2024 & 9th Jan – 6th Apr 2025

  • If the reservation is cancelled or modified up to 60 days before arrival, no cancellation fee will be charged.
  • If the reservation is cancelled up to 31 days before arrival, 50% of the total amount of the reservation will be charged.
  • For cancellations made later than 31 days before arrival or in case of a no-show, the total price of the reservation will be charged. The resort is entitled to charge the total amount of your reservation from your credit card.

3. Minimum stay

11th Nov – 27th Nov 2024 & 6th Jan – 6th Apr 2025
– The minimum stay is two nights.

28th Nov 2024 – 5th Jan 2025
– The minimum stay is three nights.

6th Sep– 10th Nov 2024
– The minimum stay is one night.

4. Groups

When booking 5 rooms or more, different policies and additional supplements may apply.

General Terms and Conditions when Booking Apukka Adventures Activities

Please read the below terms and conditions as well as payment terms carefully. You must agree with the following rules and regulations (unless otherwise agreed).

Apukka Adventures’ activities terms and conditions concerning all activity purchases for individual bookings. Please note that all group reservations have altered terms and conditions and can be requested from sales@apukkaresort.fi

1. Booking and confirmation

Booking can be made in written form via email to sales@apukkaresort.fi or through our booking system. When making an activity booking, you must provide the following information: number of persons, age of children, phone number, email, payment method, activity date and time.

A booking shall be confirmed when Apukka Resort Ltd has received the payment and you have received a booking number. Apukka Resort Ltd reserves the right to reject confirmation if the payment has not been received. All bookings are subject to availability and are not confirmed until written confirmation has been provided.

2. Child policy

The child prices apply to children aged 4 to 14 years, if not otherwise mentioned. Children 3
years old or younger can participate in safaris free of charge. However, please note that not all safaris are suitable for young children. Apukka Resort Ltd. reserves the right to deny the participation of small children on safaris due to safety reasons (e.g., demanding weather or trail conditions).

3. General terms

Provided activities are subject to change due to weather conditions. As a responsible activity organizer, Apukka Resort Ltd. reserves the right to change the excursions’ routing, pricing, date, timetable, content, and duration without prior notice. Apukka Resort Ltd. reserves the right to deny the participation to an excursion in any aspect of a tour at any time where Apukka Resort Ltd. determines in its reasonable discretion that a person’s physical or mental condition renders him/her unfit for taking part in an excursion or that the participation would represent a danger to him/herself or others.

4. Payment

All bookings require prepayment.

5. Cancellation, changes, and no-show

100% Refund if cancelled more than 24h before experience departure time. If the reservation is cancelled or modified less than 24h before activity start time, the total price of the reservation will be charged. The same applies to cases of no-shows.

Apukka Resort Ltd. reserves the right to cancel the booking due to circumstances amounting to Force Majeure. These include, but are not limited to, weather conditions, fire, war, riot, terrorism, government action, strike, and other events outside our control that prevent or affect our contractual obligation. The company will not be liable to pay any refund or compensation when such circumstances occur.

6. Notifications

Some of our programs, especially husky excursions and snowmobiling, can be physically demanding, and participants may be exposed to different kinds of physical strain or vibration. Therefore, to avoid complications and guarantee the safety of all participants, we do not recommend husky programs or snowmobiling to pregnant women or people with health restrictions. Failure to inform Apukka Resort Ltd. of the pregnancy or health restrictions shall release Apukka Resort Ltd. from any liability to the customer. If the program requires special arrangements (e.g., additional transport), the extra costs will not be covered by Apukka Resort Ltd.
